Please see below for information on how, for what purposes and to what extent we process your personal data in connection with email correspondence with our employees.

WHO ARE WE?

We are a limited liability company, one of the largest European manufacturers of PVC finishing products and we call ourselves Poli-eco Tworzywa Sztuczne sp. z o. o. ( hereinafter: we).

WHAT IS THIS DOCUMENT FOR?

On 25 May 2018, the regulations of the General Data Protection Regulation (referred to as the “GDPR”) came into force. The RODO for cases of personal data collection imposes an obligation to provide comprehensive information on how the collected data is processed. Under the RODO, when we receive a message from you from a specific email address, with specific content, with a signature, we collect and process personal data. In this document, we provide you with the legally required information, thereby fulfilling our legal obligation under the RODO.

HOW DO WE HAVE YOUR PERSONAL INFORMATION?

We obtain your personal data mainly from you. You provide us with your data in connection with our e-mail correspondence and via the contact form. At the same time, we may have obtained your contact details from someone in your organisation (e. g. by naming you as the contact person in the collaboration agreement or simply by adding you to the message (DW) as part of your ongoing correspondence).

FOR WHAT PURPOSE DO WE PROCESS YOUR PERSONAL DATA?

We process the data you provide for the purpose of the correspondence in question. This could be the performance of our services, recruitment, or any other activity related to Poli-eco Tworzywa Sztuczne sp. z o. o.

TO WHAT EXTENT DO WE PROCESS YOUR PERSONAL DATA?

We process your data in the following scope: e-mail address and data included by you in correspondence sent to us (customarily the subject of the correspondence and the footer with contact details).

ON WHAT LEGAL BASIS DO WE PROCESS YOUR DATA?

We process your personal data in order to:

perform a contract that binds us, or in order to conclude a contract – art. 6(1). 1(b). b) RODO,

in other cases we process your data only on the basis of previously granted consent, within the scope and purpose specified in the content of the consent – art. 6(1). 1(b). (a) RODO.

HOW LONG DO WE PROCESS YOUR PERSONAL DATA?

We process data from e-mail correspondence for the period of its usefulness for mutual contacts. We do not have a specific time period after which we absolutely delete correspondence. However, if we terminate ongoing contact, we will retain your data for a further 5 years (in the name of the accountability rule) and will then decide whether it is appropriate to delete it.

WHO IS THE RECIPIENT OF YOUR PERSONAL DATA?

We do not share ownership of your data with any commercial entities. However, you should know that your data may be shared with service providers whose services entail the right of access:

law firms that support us in our day-to-day operations,

entities that maintain software that we use in the course of our day-to-day business.

We provide each subcontractor with only the data that is necessary for the purpose in question. In the course of inspections, access to such personal data may also be obtained by authorised bodies of central administration (e. g. President of the Office for Personal Data Protection).

HOW DO WE PROCESS PERSONAL DATA?

We process personal data in accordance with applicable law, in particular in accordance with the provisions of the Data Protection Act and the General Data Protection Regulation. We are mindful of the following rules that guide our processing of your personal information:

Adequacy Rule

We only process data that is necessary for the specific purpose of the processing and in accordance with the applicable regulations; we have carried out an analysis for each process to comply with this rule.

Transparency Rule

You should have full knowledge of what is happening with your data. This document, in which we endeavour to provide you with full information on the rules governing our processing of your personal data, is a manifestation thereof.

Rule of Correctness

We strive to keep your personal information on our systems up to date and truthful. Integrity and Confidentiality Rule

We take the necessary measures to safeguard the confidentiality and integrity of your personal information. We improve them all the time, along with the changing environment and technological advances. Safeguards include physical and technological measures to limit access to your data, as well as appropriate safeguards against loss of your data.

e. Accountability Principle

We want to be able to account for any of our dealings with your personal information so that if you ask us, we can provide you with full and fair information about what we have done with your information.

WHAT RIGHTS DO YOU HAVE?

Data protection law gives you a number of rights that you can exercise at any time. As long as you do not abuse these rights (e. g. unreasonable daily requests for information), then using them will be free of charge to you and should be easy to do. Your rights include:

The right to access the content of your personal data

This right means that you can request that we export the information we have about you from our databases and send it to you in one of the commonly used formats (e. g. XLSX, DOCX, etc. ).

Right to rectification

 If you become aware that the data we process is incorrect, you have the right to ask us to rectify it and we will be obliged to do so. If this is the case, we have the right to ask you to produce some document or other evidence to prove that your details have changed.

Right to restrict processing

If, despite our compliance with the adequacy principle as described in the section “How we process personal data”, you consider that we are processing too much of your personal data for a particular process, you have the right to request that we restrict this processing. Insofar as your request does not contradict requirements imposed on us by applicable law, or is not necessary for the performance of a contract, we will comply with your request.

Right to request erasure

This right, also known as the right to be forgotten, means your right to request that we erase from our database systems and from our records any information containing your personal data. Please note that we will not be able to do this if we are required by law to process your data (e. g. pending administrative proceedings). However, in response to your request, we will delete your personal data to the fullest extent possible and, where this is not possible, we will ensure that it is pseudonymised (which means that the data subject cannot be identified without an appropriate linkage key) so that your data, which we must retain in accordance with applicable law, will only be accessible to a limited number of people in our establishment.

Right to data portability to another data controller

If we process your personal data on the basis of your consent or in connection with an ongoing contract, then in accordance with the General Data Protection Regulation you can ask us to export the data you have provided to us in the course of such contacts into a separate file for onward transfer to another data controller.

You may also write to the above addresses if any action or situation you encounter raises your concern as to whether it is in compliance with the law or violates your rights or freedoms. If so, we will respond to your questions and concerns and address the issue promptly. If you feel that we have in any way violated the rules of processing your personal data then you have the right to lodge a complaint directly to the supervisory authority (President of the Office for Personal Data Protection). When exercising this right, you should give a full description of the situation and indicate what action you consider to be an infringement of your rights or freedoms. The complaint should be made directly to the supervisor.

RIGHT OF APPEAL

We would like to inform you separately that you also have the right to a so-called “right of appeal”. object to the processing of your personal data. You submit a right to object when you do not want us to process your personal data for a specific purpose. In this case, we will continue to process your data for other processes (for other purposes), but no longer for the purpose for which you objected, unless your request objects to obligations imposed on us by law.
